LogMate / Legal
Privacy Policy
Effective date: 26 September 2026
This Privacy Policy explains how LogMate handles personal information when you visit our website or use the LogMate application and related services. We aim to handle information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable South African law.
1. Responsible party and contact
For this policy, “LogMate”, “we”, “us”, and “our” refer to the operator of the LogMate service in the Republic of South Africa. For privacy questions or requests, email ruanhat06@gmail.com and mark the request “Privacy”.
2. Information we handle
- Account information: email address, name supplied during registration, authentication identifiers, subscription tier, and account preferences.
- Logbook information: vehicle registration and details, mileage, trip dates and classifications, origin and destination, route and GPS coordinates when you use location features, fuel entries, expenses, service records, driver assignments, and notes.
- Documents: service invoices, photographs, or other files you choose to upload.
- Billing information: plan, payment status, transaction references, and billing events. Payments are processed by Paystack; LogMate does not store full payment-card credentials.
- Device and usage information: browser and device details, security/session data, essential cookies and your cookie choices, and diagnostic information needed to operate and protect the Service.
3. How we collect information
We receive information from you when you create an account, enter or upload records, contact support, or purchase a plan. The app may receive location information from your device when you start a GPS trip, enable Smart Trips, or request a location-based feature, subject to your device permissions. We also receive limited technical and payment-status information from service providers that help us operate the Service.
4. Purposes and lawful grounds
We use information to create and secure accounts; store, display, sync, and export your records; provide trip, fuel, service, fleet, and reporting functions; process subscriptions and payments; respond to support requests; maintain, troubleshoot, and protect the Service; meet legal obligations; and establish or defend legal claims. Depending on the processing, the lawful ground may be your consent, performance of a contract, compliance with a legal obligation, or a legitimate interest that does not override your rights.
Where a feature requires location permission or optional cookies, you can manage those permissions through your device, browser, or cookie controls. Refusing optional information may limit the related feature.
5. Local storage, offline data, and analytics
LogMate stores some records, active-trip state, preferences, and cached data in your browser or app so that selected features can work offline. Some analytics calculations run on your device. Local data may remain on a shared device after you sign out; use the app’s offline-data controls and sign out when appropriate. Clearing local data does not by itself delete cloud records in your account.
6. Sharing and service providers
We share information only as reasonably needed to provide, secure, or support LogMate, or where law requires it. Providers may include Supabase (account authentication, database, and file storage), Paystack (payments), Mapbox and OpenRouteService (maps, geocoding, and routing when requested), and hosting, infrastructure, and notification providers. Requests to external map or routing services may include the location or coordinates needed to fulfil the feature. Each provider processes information under its own terms and security practices.
We do not sell personal information for money. We do not disclose account logbook contents to advertisers. We may disclose information to professional advisers, regulators, law enforcement, or a successor service operator when legally required or necessary to protect rights and safety.
7. Cross-border processing
Some service providers may store or process information outside South Africa. Where POPIA applies, we take reasonable steps to use providers and safeguards that support an appropriate level of protection for that transfer.
8. Retention and deletion
We retain account and logbook information while needed to provide the Service, maintain security and backups, resolve disputes, and meet legal obligations. Retention periods vary by record and provider. You may request account closure or deletion by contacting us. We will handle the request under applicable law; some information may need to be retained for a lawful purpose, and backup copies may take time to expire.
9. Security
We use safeguards intended to protect information, including authenticated accounts, access controls, and encrypted connections where supported. No internet service or storage system can be guaranteed completely secure. Keep your sign-in credentials private and tell us promptly if you suspect your account has been compromised.
10. Your privacy rights
Subject to applicable law, you may request access to or correction of personal information, ask about its use, object to certain processing, withdraw consent where consent is the basis, or request deletion where applicable. To make a request, email ruanhat06@gmail.com with “Privacy request” in the subject. We may need to verify your identity before acting. You may also lodge a complaint with the Information Regulator of South Africa.
11. Children
LogMate is intended for adults managing personal or business vehicle records and is not designed for children. Do not create an account for a child or submit a child’s personal information unless you are legally authorised and have taken any steps required by law.
12. Changes and contact
We may update this policy as the Service or applicable law changes. The current version and effective date will be published here. For privacy questions or requests, email ruanhat06@gmail.com.
